Background
The International AIDS Society (IAS) is the world's largest association of HIV/AIDS professionals, and until recently, one person was responsible for every email signature it sent.
IAS coordinates work across 196 countries, from clinical research to community outreach, with over 16,000 members behind it. When it migrated to Microsoft 365, it needed a standard email signature across the whole organization, and there wasn't time to build it by hand.
Before & after
Before
A new Transport Rule needed for every email signature variation
Only one person on the IT team able to update email signatures
A different email signature needed for every domain
No guarantee of the right email signature on mobile
After
Automated email signature deployment, with nothing to install
The IT team freed from manual email signature updates
Every domain's email signatures managed from one platform
The same email signature applied consistently, on desktop and mobile
IAS's challenge
A new rule for every variation: Microsoft 365's native Transport Rules meant building a separate rule for each email signature variation, and IAS needed several.
One person, every email signature: With such a small IT team, only one person could ever work on email signature updates at a time.
A different domain, a different signature: Staff across separate domains each needed their own email signature, adding another layer of manual admin.
No guarantee on mobile: There was no way to be sure an email sent from a phone carried the right email signature.
The results
Zero
installation or ongoing IT maintenance required
1
cloud platform managing every domain's email signatures
100%
of outgoing email carrying the correct signature, including on mobile
How Exclaimer helped
Exclaimer gave IAS a way to add HTML email signatures automatically to every message sent from Microsoft 365. There was nothing to install and no extra maintenance for the IT team to take on.
With Exclaimer, IAS can:
Automate email signature deployment: Every email sent from Microsoft 365 gets the right email signature, without touching a Transport Rule.
Free up its one IT administrator: Manual email signature updates are no longer a job anyone has to do.
Manage every domain from one place: Every email signature variation across IAS's domains now lives in a single platform.
Keep email signatures consistent everywhere: Staff get the correct email signature whether they're on a desktop or a phone.
Because IAS is a non-profit, Exclaimer also offered special pricing and an extended trial period, then rebuilt and imported IAS's existing email signature templates directly into the new platform. IAS didn't have to build anything from scratch, and its budget didn't have to stretch to cover it.
